DriveMark

Signing in

There is no password. DriveMark emails you a six-digit code and a link.

  1. Open the DriveMark address you were given and type your email address.
  2. Choose Email me a sign-in code.
  3. Open the email. Type the six-digit code, or click the link in it.

The email comes from the center's scheduling address. If it does not arrive in a minute or two, check your spam folder, then ask for a new code.

When you are finished, choose Sign out at the top right.

The home page

Three big buttons run almost everything.

The Help button at the top left opens this guide in a new tab, on the topic for the page you are on.

The Next Event page

This is home base for an event. From top to bottom:

Event details

The event date, plus links to Review and send scans, Upload Scan and Download CSV.

Scheduled

Everyone booked for the event, with date, time, name and delivery choice. People appear here on their own as they book in the scheduler (GPS). Nothing to type in.

Appointment list

Only needed if you have a list that is not in the scheduler. See Adding people by hand or by file.

Add a person

Adds one person who is not in the schedule.

Download CSV

A spreadsheet of the event with Date, Time, First Name, Last Name, Email and Delivery, in time order. Hand it to the scan technician or keep it for your records.

Choosing email or thumb drive

Each person needs one choice before anything can be sent. Sending stays blocked until everyone has one.

The choice saves by itself the moment you change it. A returning person's last choice is filled in for you. Check it anyway if their consent might have changed.

Roughly 99 out of 100 people consent to email.

Adding people by hand or by file

People booked in the scheduler show up on their own. Use these only for everyone else.

Add one person

  1. On the Next Event page, scroll to Add a person.
  2. Type first name, last name and email.
  3. Choose Add to this event. Then set their delivery choice in the Scheduled list.

Upload a list

  1. Under Appointment list, choose a CSV file with at least name and email columns. A column for delivery (thumb drive or email) is optional.
  2. Choose Upload list.
  3. The Check the columns page shows the first rows. Confirm which column is which, then choose Add these people. Nothing is added until you confirm.

Someone already on the event is not added twice.

Creating an event

When no event is coming up, the home page shows Create Event in place of Next Event.

  1. Choose Create Event.
  2. Pick the date and confirm the center.
  3. Choose Create event. You land on the Next Event page for the new date.

The schedule fills in from the scheduler for that date.

Uploading scans

At the end of the day the technician hands over a thumb drive of scan PDFs. Put them into DriveMark like this.

  1. Choose Upload Scan (on the Next Event page, on Review, or in the Archive).
  2. Drag the PDF files onto the box, or choose the files, or choose a whole folder.
  3. Wait for each file to show as uploaded. Then go on to Review and send.

File names are expected to look like the technician's usual naming (last name, first name, spine or femur). They do not have to be perfect: Review catches names that do not match anyone.

Uploading the same file again replaces it. There is no Remove button.

Review and send

Open Send Today's Scans from Review and send scans on the Next Event page. Nothing goes out until every row is settled and you press Send.

The top box counts what is ready, what needs checking, scan files with no person, and people with no scan.

Check these

A scan file whose name is close but not exact. DriveMark suggests who it might be:

Ready

People with a matched scan. Each shows its files and a delivery choice you can still change.

Scan files with no person

Files that match nobody. Choose the person from the list and press Pair. If the file name does not say spine or femur, you pick which it is.

People with no scan

Booked but no file. They are left out of this send and can be sent later when their scan turns up.

Sending

  1. When the red messages are gone, choose Review and send.
  2. Check the counts: how many get results by email and how many get the information-only email.
  3. Choose Send now. Keep the page open until it says everything is sent.

Sending twice to the same person does not happen: people already sent are skipped.

After you send

The Sent results list shows each person and whether their email went out. You can see it again any time under Past events.

Very large scans (over about 18 MB together) are not attached. The list marks them so you can get the person their results another way.

Bounced mail is not tracked inside DriveMark. If an email cannot be delivered, the bounce notice comes back to the center's scheduling inbox.

Past events

Choose Past events on the home page for a list of earlier events with the number of people. Choose a date to see who was scheduled and what was sent.

The Archive

Every scan ever sent is filed under the person. Choose Archive on the home page.

  1. Type part of a name in the search box and pick the person.
  2. Their page lists every result sent, with the date.
  3. Resend on a result sends that email again.
  4. Send Email writes a short note to that person. Replies go to the center.

Upload Scan at the top of the Archive opens the scan uploader on its own. Scans stored here are encrypted and only signed-in staff can open them.

When something looks wrong

No sign-in email

Wait two minutes, check spam, then request a new code. Make sure you typed the same address the center has on file for you.

"The schedule could not be reached"

Times are missing because the scheduler did not answer. Reload in a minute. Delivery choices you already made are kept.

Someone booked is not on the list

Their booking probably has no email address. A red note on the Next Event page says so. Add the address in the scheduler, or use Add a person.

Send is greyed out

Someone has no delivery choice yet, or a Check row is unresolved. The red message says which.

A scan went to the wrong person

Do not send it. Pair it correctly on the Review page. If it was already sent, tell Brent right away.

A page will not load or looks broken

Reload once. If it persists, tell Brent what you were doing and what you saw on screen.
